Calgary Voices Collective — Privacy Policy

Effective Date: February 4, 2026

Calgary Voices Collective (“CVC,” “we,” “us,” or “our”) values your privacy and is committed to protecting the personal information of our participants and website visitors. This Privacy Policy governs our data management practices in accordance with Alberta's Personal Information Protection Act (PIPA).

1. Collection of Personal Information

We collect personal information necessary to deliver our services, process payments, measure advertising performance, and manage bookings. This information includes:

  1. Contact Information: First name, last name, phone number, and email address.
  2. Transaction Data: Billing information and purchase history managed securely through our designated booking software.
  3. Marketing & Analytical Insights: Information regarding how you discovered our business, alongside data collected via Meta tracking tools utilized on our website to measure digital advertising performance.
  4. Photography, Audio, and Video Data: Digital likenesses, photographs, static images, video footage, and voice recordings captured during group sessions for promotional, marketing, and advertising purposes.

2. Use and Disclosure of Data

Your information is used strictly to manage bookings, process payments, compile internal surveys, enforce scheduling and cancellation policies, measure digital ad performance, and generate promotional materials for our brand. We do not sell, rent, or trade your personal data with third-party marketers.

3. Marketing & Communication Preferences

Promotional updates are sent strictly on an opt-in basis. You can manage your email and text preferences or unsubscribe at any time through your customer profile settings. Opting out of marketing will not impact transactional updates regarding your active bookings or urgent scheduling alerts.

4. Media Data Access and Redaction Policy

In accordance with Alberta's Personal Information Protection Act (PIPA), individuals have a legal right to request access to review personal data held about them, including photographs and video footage in which they appear. However, because our sessions are recorded in a dynamic group format, raw, unedited materials will never be released to protect the privacy and personal information of other participants.

To fulfill an authorized media data access request, all third-party likenesses must be digitally masked, cropped, or redacted.

  1. Redaction Fee Structure: Under PIPA, the requesting individual is strictly responsible for paying all reasonable, direct costs associated with image editing, blurring, or software redaction services.
  2. Processing Formats: Calgary Voices Collective will provide a binding fee estimate prior to processing any request. If masking is technically impossible or cost-prohibitive, CVC may fulfill the request by providing redacted, static screenshots. Materials will only be released once third-party privacy is fully secured.
  3. Usage Limits: Photographs or footage provided through a data access request are strictly for personal verification of privacy and may not be published, reproduced, displayed, or distributed publicly (including on social media platforms) without our express prior written consent. All session media remains the exclusive intellectual property of Calgary Voices Collective.

5. Data Security and Retention

We maintain administrative and technical safeguards to protect your personal information against unauthorized access, loss, or disclosure. Personal information is retained only as long as necessary to fulfill the operational, analytical, and legal purposes outlined in this policy.
